ALMA/45m/ASTE Users Meeting 2025
Information for Participants

Thank you very much for registering for the meeting. Please find important information for participants below.

1. Security Cards (for building access)

For registered participants excluding NAOJ staff, a security card for access to buildings on the Mitaka campus will be prepared.

  • Please pick up your security card at the guard station immediately inside the main gate.
  • When picking up the card, please state your name and purpose (“Users Meeting”) and present a valid ID (driver’s license, staff ID, or student ID).
  • Please keep the security card with you during the meeting.
  • When leaving the observatory, please return the card to the guard station.

A LMA Grant Fellows: If you have an NAOJ staff ID, please bring it with you.

2. Reception & Name Badges

A reception desk will be set up in front of the Subaru Large Seminar Room. Please check in there to receive your name badge.

3. Light Refreshments

Simple refreshments will be provided after the sessions on December 16.

  • Please make the payment at the reception if you have registered for, or wish to use, this service.
  • Fee: Students 500 JPY / Others 1,000 JPY (cash only)

4. Lunch Boxes (Bento)

Participants who pre-ordered a lunch box are kindly requested to make the payment at the Users Meeting reception desk when checking in.

Information for Presenters

(1) Oral Presentations

  • Each contributed oral talk on December 16 is 15 minutes, including discussion (recommended: 12 minutes presentation + 3 minutes Q&A).
  • Please inform us in advance if you wish to present online only.
  • The symposium will be held in a hybrid format using Zoom.

Presentation method:

  • All presentations should be shared via Zoom’s “Share Screen” function.
  • At the venue, please connect to the Wi-Fi network “naoj-open”.
  • Instructions for connecting to the Wi-Fi will be provided on the day of the meeting.
  • We do not plan to use direct cable connections between personal computers and the projector.

(2) Poster Presentations

  • Please check whether your poster is listed on the meeting webpage.
  • Posters should be printed in A0 size.
  • Poster boards will be available from December 15 in the area around the Subaru Large Seminar Room.
  • Each poster board is labeled with a poster number; please display your poster on the assigned board.
